Agritrade Ukraine, Coordination Unit Food Aid Ukraine

Due to the war between Russia and Ukraine since 24.2.2022, there is a changed task for the extension phase of the Agritrade project, implemented by AFC.

Based on existing contacts to representatives of the food retail trade the project has startetd to coordinate / support the delivery of donations from food retailers (especially EDEKA and Netto/EDEKA) from Germany to hubs in Poland. These activities are now to be expanded at the request of the BMEL (lebensmittelhilfe-ukraine.de).

The activities in acute emergency aid are in particular to:

  • collect information on food needs in Ukraine, especially needs reported by the Ukrainian ministries (especially the Ministries of Agriculture and Economy)
  • To collect information from possible donors who can/would like to supply food in wholesale quantities, especially from food retail chains and food processing companies. Donations should be primarily shelf-stable products.
  • Coordination between demand and supply (as well as - in coordination with GFA/BMEL- exchange of information with other coordinating agencies such as the Lower Saxony Marketing Society, DRK, Malteser, Johanniter, etc.).
  • Support of the companies to deliver the donations to selected hubs in Poland. The logistics are provided by the companies themselves or by other companies that provide the logistics free of charge.
  • Exchange of information with the Polish hubs to ensure timely pickup of the shipment by Ukrainian organizations. The removal to Ukraine as well as the distribution in Ukraine are not in the responsibility of the project.
  • Up-to-date daily documentation of food aid deliveries based on a template agreed with GFA for transparency purposes.

Tasks of the regional short-term expert

The task of the regional short-term expert is to support the team of the coordination unit.

This includes the following tasks in particular:

  • Coordination with Polish hubs, to which the food aid is delivered (e.g. in Rzezov, Debica, Lublin)
    notification of deliveries, clarification of free capacities, clarification of opening hours, addresses and contact persons, confirmation of received deliveries, rerouting if necessary in case of bottlenecks, communication with the hubs), etc..
  • Coordination of incoming and outgoing goods in Poland: control of incoming goods, inventory lists of German food deliveries in the hub, control of outgoing goods
  • Documentation of incoming and outgoing goods in Poland (collection by representatives of official Ukrainian agencies)
Qualifications: 
  • Completion of an internationally recognised university degree or vocational training relevant to the task;
  • At least 2 years of professional experience;
  • Intercultural and social skills as well as a strong ability to work in a team;
  • Confident communication skills at various hierarchical levels;
  • The expert should have Polish language skills and either English or German language skills.

Starting asap. 

Explanation regarding timing and location

As there will be two regional short-term experts for the coordination with the Polish hubs, the working time may be split-up between the two regional experts, so that at least one of the experts is reachable in case a truck is arriving.

It is estimated, that about 2-15 trucks arrive per day in Polish hubs. About 1 day before, the arrival of the trucks will be announce to the regional experts (with updates before the arrival, if the delivery is in time).

Most of the time, the trucks arrive between 8.00-18.00, sometimes also later.

If suitable (e.g. if near the home place of the expert), a physical presence of the expert is preferred. Otherwise, reachability per phone or whats’ app is also possible.
